Odoo for installation companies: from quote to work order and maintenance.

An installation company works in two places: the office and the road. Sales writes the quote, planning sends the technician, the technician records what was installed, and someone in the office turns that into an invoice. When each step sits in its own tool, every job gets typed more than once.

This post shows how Odoo carries an installation job from quote to work order and maintenance, with two companies that run their installation work on it.

One flow, from lead to maintenance.

In Odoo, the apps an installer needs share one database:

  • CRM for leads and the sales pipeline.

  • Sales for quotations and signed orders.

  • Project and Field Service for planning and work orders.

  • Purchase and Inventory for materials and van stock.

  • Accounting for invoicing.

  • Helpdesk and Subscriptions for service after handover.

A signed quotation sets off the rest. Once it is signed, Odoo creates the project, the field service task for the technicians and the down-payment invoice. That is how EcoFusion has run its installations since December 2025.

Planning and work orders for your technicians.

Technicians work from the Odoo mobile app. They see the day's schedule and a map view of their sites, with access to the customer and asset history.

On site, they log time and materials, capture photo evidence and close the work order with a completion report the customer signs. That report flows straight into invoicing, without rekeying.

The material each technician carries is tracked as its own van stock location. The office sees what is in the field and values inventory correctly.

Invoice what was actually installed.

At EcoFusion, one sales order line becomes a bill of materials, so the materials for each job are known before the technician leaves. After installation, the final invoice follows from what was actually installed. Nobody rebuilds it from a checklist.

Odoo sends that invoice as an e-invoice through the Peppol network.

Service and maintenance after handover.

Service requests after handover land in the same system through Helpdesk. Each request is linked to the installed asset and becomes a new work order when an intervention is needed. The installed asset is also registered for the maintenance contract you sell later.

EcoFusion connected its SolarEdge monitoring to Helpdesk. It can call a customer about last night's error before the customer calls them.

EcoFusion.

EcoFusion designs, installs and maintains solar systems for homes and businesses in Belgium. With 50+ people it handles about 1,000 installations a year: solar panels, home batteries, charging stations and heat pumps.

Before Odoo, a confirmed deal in Teamleader was retyped into Simple-Simon for the technicians and into AppSheet for the checklists. Three entries for one job. In under six months, EcoFusion moved its whole installation flow into Odoo and kept the systems that already worked: Google Drive, SolarEdge and its customer portal. Read the EcoFusion case.

Elektro Van Assche.

Elektro Van Assche is a 60-year family-owned electrical retailer in Flanders. Next to counter sales, it runs scheduled installation work for electric boilers and heating systems.

Before Odoo, technicians logged time on paper, noted accessories by hand and collected signatures on duplicate forms. Now a field service module puts a tablet on every van. Technicians log time on the doorstep, record accessories and capture signatures, and the whole record goes straight to service and accounting. Read the Elektro Van Assche case.

Questions, answered

Everything you need to know about Odoo for installation companies.

  • Yes. Once a quotation is signed, Odoo creates the project, the field service task for the technicians and the down-payment invoice. EcoFusion, a solar installer, has run its installation flow this way since December 2025.

  • Yes, Odoo manages technician work orders and the signed completion report for solar, heat pump and EV charger installers. Service requests after handover land in the same system through the helpdesk, linked to the asset and turned into a new work order when an intervention is needed. We are an Odoo implementation partner, and the asset and contract master data is what makes dispatch and reporting reliable.

  • No. EcoFusion kept Google Drive, SolarEdge and its customer portal, now connected to the same record in Odoo. Elektro Van Assche kept Niwzi, the product database its trade runs on, and integrated Odoo around it.

  • Field service management software for installers and energy operators needs to do four things on one platform: dispatch technicians, give them a mobile work order they complete on site, capture the signed completion report as evidence, and push the invoice into accounting without rekeying. Odoo Field Service does this end to end, with scheduling and a map view of the sites, time and materials logged in the field, and the installed asset registered for the maintenance contract sold later. It also connects the site survey before the quote, the van stock each technician carries (tracked as its own location), and the service desk that handles requests after handover. The platform is the easy part. The master data on products, kits and labour types decides whether it holds. We are an Odoo implementation partner, and that structuring work is what we bring.
