EcoFusion: one Odoo platform for every solar installation.

In under six months, EcoFusion moved its whole installation flow into Odoo and kept the three systems that already worked.

How it started

A solar installer held together by a custom dashboard.

EcoFusion designs, installs and maintains solar systems for homes and businesses in Belgium. With 50+ people it handles about 1,000 installations a year: solar panels, home batteries, charging stations and heat pumps, followed by an EcoCare subscription for maintenance and monitoring. Every tool in its stack had solved one problem. Teamleader held quotations and customers, AppSheet the sales and technician checklists, Simple-Simon the technician planning and SolarEdge the monitoring. A custom dashboard pulled data from all of them to build one view per customer. When the Odoo project started in June 2025, that dashboard was the only place the full picture of an installation existed. CEO Hans den Ouden sponsored the move to one platform, and Zeno Antonis and Emiel Damen led the project on EcoFusion's side.

The challenge

Three moments where the tools broke the flow.

  • Every installation, typed three times.

A confirmed deal in Teamleader was retyped into Simple-Simon for the technicians and into AppSheet for the checklists. Three entries for one job, and three places where it could go wrong.

  • Final invoices built by hand.

What a technician actually installed lived in AppSheet checklists and Google Drive. Someone had to look it up and rebuild the final invoice in Teamleader.

  • Customer service on the phone to the field.

Nobody could see the latest status of an installation. Before answering a customer, customer service first had to call the technician.

The rollout

Kickoff in June, live by December.

  • 10 June 2025

  • 1 December 2025

Go-live on Odoo for sales, installation, purchasing, invoicing and helpdesk.

What we actually built.

EcoFusion runs its installation business on Odoo CRM, Sales, Project, Field Service, Purchase, Invoicing, Helpdesk and Subscriptions. A form on the EcoFusion website creates the lead and the customer in Odoo, and a Google Drive folder for that customer at the same moment. Once a quotation is signed, Odoo creates the project, the field service task for the technicians and the down-payment invoice. After installation it sends the inspection request to the inspection company, and the final invoice follows from what was actually installed.

Purchasing was the one flow EcoFusion never had in software, and Dynapps kept it standard: one sales order line becomes a bill of materials, so the materials for each job are known before the technician leaves. The technician checklists were the opposite call. Business consultant Cindy Singh judged them too complex for Odoo Studio and had them built as a custom module, with FastAPI endpoints feeding the inspection request, the electrical diagram and the SolarEdge alerts. Developers Jonas Aerts and Jim Hoefnagels and lead developer Vince Lieckens built that layer between June and December 2025. Since go-live, SolarEdge alerts land in Helpdesk, so EcoFusion can call a customer about last night's error before the customer calls them.

Modules: CRM, Sales, Project, Field Service, Purchase, bills of materials (Manufacturing), Invoicing with Peppol, Helpdesk, Subscriptions, custom checklist module, FastAPI endpoints, SolarEdge and Google Drive integrations.

The discipline throughout.

The working principle was to test the business, not the software. Dynapps wrote every test scenario from EcoFusion's five operational flows, from lead to quotation through to monitoring and customer service, and both sides ran them before go-live. The tension sat between standard Odoo and the way EcoFusion had always worked. Key users owned their domain and had the authority to accept the standard, which kept custom work to the checklists and the integrations. Zeno Antonis, EcoFusion's Technical Solution Engineer, discussed problems directly with the developers and co-developed parts of the solution, which saved budget and time. Holding that line took presence: project manager Jochem Bauwmans ran regular on-site sessions with the key users from June to December 2025, because remote work alone would not have kept the requirements aligned. The result outlasted go-live: a smooth switch and a platform that stayed stable afterwards.

What was hard

Field service gave technicians more reach than the process allowed.

Field Service gives technicians access to the tasks they work on, and in standard Odoo that access reaches further than EcoFusion wanted. A technician could archive a task or change more than the process allowed. Matching the access rights to the real division of roles between office and field was the hardest part of the project. Dynapps added user groups so that specific technicians can no longer delete or archive specific tasks, delivered through a separate change request.

After go-live

One entry, one record, one invoice the same day.

1

entry per installation: the signed quotation creates the project, the field service task and the bill of materials.

Same day

final invoice, built from what was installed and sent over Peppol.

3

existing systems kept and connected: Google Drive, SolarEdge and its customer portal.

The real win

Nobody calls to ask where an installation stands.

Before Odoo, the sales and technician checklists lived in AppSheet, and the first question about any installation was where it stood. The answer sat with the technician. Now both checklists are filled in inside Odoo, on the project that customer service, the technician and the customer all see, and the inspection result comes back onto the same record. The default question at EcoFusion has moved from where an installation is to what the customer needs next, which is where the SolarEdge alerts and the EcoCare subscription take over.

Wherever your business is heading and wherever it's getting stuck, an expert who has run this kind of work is the right person to start with, before you commit to a direction or a platform.

  • Implement Odoo

From blueprint to go-live, built around how your industry actually operates.

  • Untangling disconnected systems

Production in one system. CRM in another. Finance in a third. A technology landscape nobody designed, where workarounds have piled up for years until reconciling the numbers takes more time than the work it reports on.

  • Energy & utilities

Installers, operators, producers, cooperatives. Each on Odoo, shaped to fit.
